Billing specialist reviewing therapy claims

Therapy Claims Break in Predictable Ways.

Hours of therapy, billed in timed units against authorizations, across clinicians, supervisors, and payers that each set their own rules. A small mismatch denies the claim, and the clock on correcting it starts immediately.

Fix the Source

So the same error doesn’t repeat

Sessions billed past authorized units or outside the auth date range

Wrong rendering or supervising provider (RBT vs. BCBA rules differ by payer)

Missing or wrong credential modifiers, or overlapping 97153 / 97155 time the payer won’t pay

Corrections that sit in a queue until the corrected-claim filing limit runs out

Time-based codes, prior authorizations, unit caps, Medicaid and EPSDT, and lots of clinicians to credential. Same team, same workflow, same pricing.

Who We Serve

Built for Therapy Practices

From a small clinic to a multi-site agency, we run billing for you or take the corrections and denials off your biller’s plate.

Small Practices & Agencies

We become your billing department.

No billing staff? We handle claims end to end (auths, submission, corrections, posting) so your clinicians stay focused on clients and families.

  • Submission through payment, corrections included
  • Auth and unit tracking per client
  • Monthly reports on denials and fixes
Multi-Site Agencies

We augment your existing team.

Already have a biller? We take the correction and denial queue, clear the backlog, and feed root causes back so the same errors stop recurring.

  • Corrected-claim and denial queue
  • Backlog cleanup by filing deadline
  • Clinician credentialing support

Every Returned Claim Has One Right Path

Sending the wrong type costs another round trip and more time against the filing limit. We pick the right one for each claim.

7
Replacement Claim
Payer processed it with an error in units, modifier, provider, or dates
8
Void / Cancel
The claim shouldn’t have been billed, or went to the wrong payer
New
Fresh Claim
Rejected at the clearinghouse, so it never reached the payer
Appeal
Reconsideration
Denied for authorization or medical necessity. Not a correction.

Frequency codes 7 and 8 go in box 22 of the CMS-1500 (or loop 2300 CLM05-3 electronically) with the payer’s original claim number. Corrected-claim filing limits vary by payer.

How our correction workflow works →

Billing Built Around Getting Claims Right

Corrections are the core of what we do. Everything around them (auths, submission, credentialing, posting) is set up so fewer claims need correcting next month.

Corrected & Replacement Claims

Rejected, denied, or underpaid claims fixed and resubmitted fast. We send a replacement (frequency code 7) or void (8) with the original claim number, before the filing window closes.

Claim Denial Rework & Appeals

Every denial gets a root cause. If it can be corrected, we correct it; if it needs an appeal (authorization, medical necessity), we write and file it and track it to payment.

Authorization & Unit Tracking

Authorized units tracked per code and date range, reconciled against what was scheduled and billed, so sessions don’t get billed past the auth.

Clean Claim Submission

Claims built and scrubbed before they go out: units, modifiers, rendering vs. supervising provider, place of service, and diagnosis checked against each payer’s rules.

Eligibility & Credentialing

Benefits and coverage verified before services start, and every clinician (BCBAs, RBTs where required, SLPs, OTs, counselors) enrolled and kept current with each payer.

Payment Posting & Reporting

ERAs posted and reconciled, underpayments flagged for correction, and clear reports on denials, corrections, and what’s still outstanding.

How It Works

Start in days. We begin with the claims at the most risk.

01

We Work in Your System

We log into the practice management system you already use. No migration, no change for your clinicians.

02

We Triage Your Open Claims

We pull your denials, rejections, and aging, sort them by filing deadline and dollar value, and start correcting the ones closest to timing out.

03

We Correct, Resubmit, and Fix the Source

Each claim goes out the right way: replacement, void, new claim, or appeal. Then we trace the cause, whether it’s an auth, a provider setup, or a modifier, and fix it upstream so it doesn’t come back.

04

You Get Paid, We Report

Payments are posted and reconciled. You see what was denied, what was corrected, what was paid, and what’s still open.

Denial received → Corrected & resubmitted → Paid & posted → Root cause fixed

Frequently Asked Questions

Therapy billing, corrected claims, and working with Ravenswood

Why work with Ravenswood Billing?

Six reasons agencies hand us their billing:

  • Reliability. You get a staffed team, not a single biller. Your account has a named US point of contact, and coverage doesn’t stop when someone is out sick or on vacation.
  • Speed. Onboarding takes days, not months. Rejections and denials are worked every day, ordered by filing deadline, so claims don’t time out in a queue.
  • Effectiveness. Each returned claim goes down the right path the first time: replacement, void, new claim, or appeal. Then we fix the root cause so the same denial stops coming back.
  • Security. Only our US-based staff touch your systems or identifiable data. Offshore staff and AI work on data with identifiers removed, and a BAA is signed before we start.
  • Therapy focus. We bill practices that work like ABA: time-based codes, prior authorizations, unit caps, and state Medicaid quirks are our everyday work.
  • Clear pricing. One monthly price based on claim volume, not provider count, and a monthly summary of what was denied, fixed, paid, and still open.
Who do you work with?

ABA and autism-services agencies, early intervention programs, speech-language and occupational therapy practices, pediatric clinics, and mental health group practices billing commercial plans, Medicaid, and managed Medicaid. We work alongside an in-house biller or run billing end to end. See all industries.

What is a corrected claim, and when do you send one?

A corrected claim replaces or cancels a claim the payer already processed. We send a replacement (frequency code 7) when the original went through with an error, such as wrong units, a missing modifier, the wrong rendering provider, place of service, or dates. We send a void (frequency code 8) when it shouldn’t have been billed at all. Claims rejected by the clearinghouse never reached the payer, so those are fixed and sent as new claims. Denials for authorization or medical necessity usually need an appeal, not a correction. We sort each one into the right path.

How fast do you work corrections?

Every day. Rejections, denials, and underpayments are triaged as they come in, not saved up for a month-end batch, and a correction goes out as soon as the fix is verified. Corrected-claim filing limits vary by payer and are often shorter than the original timely-filing limit, so we prioritize by deadline.

Can you clean up an existing backlog of denied claims?

Yes. We start by reviewing your aging and denial reports, sort claims by filing deadline and dollar value, and work the ones closest to timing out first. You’ll see which claims are recoverable, which need an appeal, and which are past the limit.

How do you handle prior authorizations and units?

We track authorized units per CPT code and date range, compare them against scheduled and billed sessions, and flag authorizations that are running low or about to expire so they can be renewed before claims start denying.

Which codes do you bill?

For ABA, the adaptive behavior codes 97151–97158 (plus 0362T and 0373T). For speech, OT, and early intervention, the evaluation and timed treatment codes with GN or GO modifiers where required. For mental health, psychotherapy codes such as 90791, 90834, and 90837. For pediatric clinics, office visit, preventive, and vaccine codes. Some state Medicaid programs use their own HCPCS codes and modifiers; we bill to the rules of your state and plans.

How long does onboarding take?

Most providers are set up and submitting claims within 3–5 business days. We work in your existing practice management system, review your recent denials and aging, and start on corrections right away.

Do I need to switch my practice management system?

No. We work in the system you already use, whether that’s an ABA-specific platform or a general PM/EHR. Nothing changes for your clinicians or families.

How do you protect client data, and do you use AI?

We sign a Business Associate Agreement (BAA) with every client before anyone on our team gets access, and every vendor that touches PHI, including the AI tools we use, is under a BAA too. Most of our work happens inside your systems with individual, role-based logins. When a task needs files downloaded, our staff process them on company-managed, encrypted laptops and save them only to BAA-covered storage. Before we analyze trends for root causes, identifiers are removed wherever possible. No PHI is used to train AI models. Once an agreement is in place, we share the full list of software we use and their SOC 2 reports. Details on our security page.

Do you carry professional liability insurance?

Yes. We carry professional liability, errors & omissions (E&O), and general liability insurance. Coverage amounts and certificates are available on request.

What You’ll Need to Do

Not much. After a 30-minute call, you sign a BAA, give our team their own logins, and point us to where things live. We take it from there.

Three Steps on Your Side

1

Book a Call

We learn about your agency: client volume, payer mix, how you track auths, and where claims are getting stuck.

2

Sign & Grant Access

Sign the BAA, then create individual, role-based logins for our team in your PM system, clearinghouse, and payer portals. No shared passwords.

3

Show Us Where Things Live

We’ll ask where your patient portal is, where auths and ERAs are kept, where corrections get submitted, and who approves write-offs.

Questions We’ll Ask

  • Which PM / EHR system and clearinghouse do you use?

  • Where is your patient / family portal?

  • Where are auth letters and unit counts tracked?

  • Who approves adjustments and write-offs?

What We Handle

  • Triage of open denials by filing deadline

  • Corrections, resubmissions, and appeals

  • Root-cause fixes fed back to your team

  • Monthly report: denied, fixed, paid, open

Free and no obligation. You don’t need answers ready before the call.
